What Happens When a Customer Places an Order?
Once a customer completes checkout in the SellStack 365 Cannabis storefront, the order is processed immediately and becomes visible in both the Admin Panel and ERP (365 Cannabis) through automated integration.
Order Flow
- SellStack creates an internal Order record
- The system applies Lot allocation (automated or selected by customer)
- The order is transmitted to 365 Cannabis as a Sales Order via background sync
- Order status updates occur automatically based on processing rules
Customer-Facing Confirmation
After checkout, customers receive:
- An on-screen confirmation message with order number
- An email confirmation sent to the account’s verified address
- Access to the Order in their dashboard under “My Orders”
If the order fails to generate in 365 Cannabis due to validation errors (e.g. blocked item, invalid pricing), the order will appear in SellStack with a status of “Failed to Export” and will not be visible in the ERP.
Understanding Order Status
Each order moves through a set of predefined statuses visible to both Admins and customers:
- Placed: Order successfully created in SellStack
- Exported: Order sent to 365 Cannabis and accepted
- Failed to Export: Error occurred during ERP sync
- Completed: Order has been fully processed or fulfilled
Payment Status
Payment state is tracked independently of order status:
- Paid: Payment was authorised and confirmed
- Pending: Payment gateway is awaiting confirmation (e.g. bank transfer, Aeropay delay)
- Failed: Payment was declined or did not complete
Admins can review payment logs and gateway responses directly from the order detail page in the Admin Panel.
Manual Overrides
Admins can manually update or override an order’s status in special cases (e.g. ERP maintenance, offline payment). However, this should be done with caution to avoid sync conflicts.
Best Practices
- Review order status daily from the Admin Panel
- Investigate “Failed to Export” orders immediately
- Confirm payment status before fulfilment
- Notify customers promptly if their order requires manual attention
